Process Credit Notes (Posted to Supplier Account)

Good news! You can now recognise and process Credit Notes, helping you automate even more of your accounts payable workflow. This new capability reduces manual data entry, streamlines the processing of supplier credit notes, and gives you greater control over your financial document processing.

This update introduces support for processing Credit Notes that do not require Purchase Return matching. Support for recognising and matching Purchase Returns is coming very soon, and our team is actively working on bringing this feature to you.

Please note, to take full advantage of this feature, ensure you are using Spindle Document Management version 11.0 or later.

Configure Accounting System Data Synchronisation Interval

We’re excited to announce that you can now customise the frequency of data synchronisations with your accounting system!

By adjusting the synchronisation intervals, you can tailor the sync schedule to suit your business needs, ensuring your accounting data stays up to date for more accurate matching and processing of your purchase invoices.

For more information on configuring the data synchronisation intervals, see this help article.

Support for Line Item matching with differing Units of Measure

We’re excited to announce support for line item matching when the Units of Measure on a Purchase Order and Purchase Invoice lines differ.

This means that if a Quantity stated on the Purchase Invoice is different from the Purchase Order due to different Units of Measure, Spindle Purchase Invoice Recognition will be able to recognise and match these line items by checking the conversion ratios held against the associated stock items in Sage 200.

This update is designed to make the purchase invoice recognition process more efficient by introducing further automation to reconcile these lines.

For information on how to enable this new option, see this help guide.

Automatically Load Line Items in Web Verify from Purchase Order

We’re delighted to announce a new feature that will make Purchase Order matching even easier and faster for certain supplier invoices: the ability to automatically load line items from Purchase Orders in Web Verify.

For Invoices with Purchase Orders, the Purchase Invoice must be matched against Purchase Order line items. However, there are occasions where some line items on supplier Purchase Invoices cannot be recognised and/or matched against the associated Purchase Order lines. For example, if the Purchase Invoice has a single line with a single total, but the Purchase Order is itemised and broken down into individual lines.

To help speed up the process of matching against Purchase Order line items, we have introduced the ability to automatically load line items in Web Verify. This setting can be applied per Supplier Account and will save you time when it comes to verifying and matching invoices.

Export Recognition Report

We are excited to announce a new feature - the ability to export a recognition report!

Now you can export your Purchase Invoice recognition data into Excel (xlsx file) for easy analysis and reporting.

This is a great way to keep track of the Purchase Invoices that you are processing through Spindle Purchase Invoice Recognition. You can check their current status, the data that has been recognised and identify those invoices that have failed to post e.g. those missing Goods Received Notes.
