Action required before 30 September 2026 — Spindle Purchase Invoice Recognition (SPIR) update

Microsoft is ending support for the legacy Service Bus Messaging Protocol (SBMP) on 30 September 2026, as part of the retirement of its older Azure Service Bus libraries. SPIR uses Azure Service Bus to communicate between its components.

Are you affected? You are affected if you are running SPIR with Spindle Document Management earlier than v11. If your site is not updated, you will not be able to process purchase invoices through SPIR from that date — documents in the portal will not change status, and documents may fail to post into Sage 200 and archive into Spindle Document Management.

What you need to do: To ensure you are patched before the deadline, you can ask your IT team to follow the steps on the KBA — KBA-11-01-006 - Service Bus Patch.

Alternatively, contact us to arrange the update at support@draycir.com.

Please note: if you are on a version of Spindle Document Management before 10.5, the patch will not work and a full Spindle Document Management upgrade will be required.

Process Credit Notes (Posted to Supplier Account)

Good news! You can now recognise and process Credit Notes, helping you automate even more of your accounts payable workflow. This new capability reduces manual data entry, streamlines the processing of supplier credit notes, and gives you greater control over your financial document processing.

This update introduces support for processing Credit Notes that do not require Purchase Return matching. Support for recognising and matching Purchase Returns is coming very soon, and our team is actively working on bringing this feature to you.

To be the first to hear when it's available, along with other product updates, enhancements, and new features, subscribe to our announcements service here.

For more information on how to process Credit Notes, please visit our help guide.

Please note, to take full advantage of this feature, ensure you are using Spindle Document Management version 11.0 or later.

View & Set Rules to compare Purchase Order and Purchase Invoice totals in Spindle Approvals

You can now create approval rules to compare Purchase Order and Purchase Invoice totals (Net and/or Gross amounts).

For example, an invoice can be automatically approved if the Purchase Invoice net amount is less than the Purchase Order net amount:

In addition, the following new "MATCHES" rules have been introduced for comparing Purchase Invoice and Purchase Order line item values.

Open Multiple Approval Requests at once

You can now open Approvals Requests in separate tabs or windows - perfect for reviewing or approving several at the same time.

Just right-click a request in your approvals list and choose “Open in new tab” or “Open in new window”.

This improvement comes directly from your user feedback - we hope it helps you work more efficiently and approve requests faster.

Configure Accounting System Data Synchronisation Interval

We’re excited to announce that you can now customise the frequency of data synchronisations with your accounting system!

By adjusting the synchronisation intervals, you can tailor the sync schedule to suit your business needs, ensuring your accounting data stays up to date for more accurate matching and processing of your purchase invoices.

For more information on configuring the data synchronisation intervals, see this help article.

Copy Text from Your Document into a Field in Web Verify

We’ve made it simpler for you to copy text directly from the Purchase Invoice into a free text field in Web Verify, eliminating the need to re-enter information manually.

Here’s an example of how it works:

  • On the Nominal Analysis tab, click into the Narrative field.
  • To append text to the existing content: Press and hold Shift + Ctrl, then click and drag the left mouse button over the desired text.
  • To overwrite any existing text in the Narrative field: Press and hold the Shift key, then click and drag the left mouse button over the text you want to copy.

Note: You can use this method to copy text from your document into any free text field in Web Verify.

This enhancement makes editing faster and more efficient!

Support for Line Item matching with differing Units of Measure

We’re excited to announce support for line item matching when the Units of Measure on a Purchase Order and Purchase Invoice lines differ.

This means that if a Quantity stated on the Purchase Invoice is different from the Purchase Order due to different Units of Measure, Spindle Purchase Invoice Recognition will be able to recognise and match these line items by checking the conversion ratios held against the associated stock items in Sage 200.

This update is designed to make the purchase invoice recognition process more efficient by introducing further automation to reconcile these lines.

For information on how to enable this new option, see this help guide.

Usability Enhancements

We’ve made some usability enhancements to help make your invoice verification process more efficient:

  • When entering a line item manually, the Net Amount will now be automatically calculated.
  • Line items with a Unit Price of up to 5 decimal places will now be supported.
  • The line item Quantity field will now be flagged if it is equal to zero for added validation.
  • All (F4) search dialogs are now case insensitive, making it easier for you to filter on data from your accounting system.
  • When looking up Purchase Order line items using the (F4) search dialog, you will now have visibility of the line item 'Net Amount' to help you with the matching process.

We hope you find these enhancements helpful!

Automatically Load Line Items in Web Verify from Purchase Order

We’re delighted to announce a new feature that will make Purchase Order matching even easier and faster for certain supplier invoices: the ability to automatically load line items from Purchase Orders in Web Verify.

For Invoices with Purchase Orders, the Purchase Invoice must be matched against Purchase Order line items. However, there are occasions where some line items on supplier Purchase Invoices cannot be recognised and/or matched against the associated Purchase Order lines. For example, if the Purchase Invoice has a single line with a single total, but the Purchase Order is itemised and broken down into individual lines.

To help speed up the process of matching against Purchase Order line items, we have introduced the ability to automatically load line items in Web Verify. This setting can be applied per Supplier Account and will save you time when it comes to verifying and matching invoices.

For more information on Line Item recognition, please visit this help article.

For information on how to configure this new option to automatically load Purchase Order line items, see this help guide.
