⚙️ Microsoft Teams Setup Options

There are two ways to capture meeting transcripts for the AI Meeting Assistant:

Option 1: Start Transcription Per Meeting

When creating or joining a Teams meeting:

1. Click More (⋯) during the meeting.
2. Select Start Recording or Start Transcription.
3. The transcript will be generated and made available to SitePad for processing.

This option gives users full control over which meetings are captured.

Option 2: Automatically Transcribe Every Meeting

For organisations that want a completely hands-off experience, Microsoft Teams can be configured to automatically generate transcripts for every meeting.

🔧 This requires configuration by your Microsoft 365 Administrator.

Microsoft Teams requires transcription to be enabled at the organisational level before transcript data becomes available via Microsoft's APIs.

The following settings must be enabled:

✅ Allow Transcription
Microsoft Teams Admin Centre → Meetings → Meeting Policies → Recording & Transcription → Allow Transcription = On

✅ Allow Cloud Recording
Required for transcripts to be saved and accessed by connected applications.

These settings can be applied organisation-wide or to specific users and groups using custom Teams Meeting Policies.
